HR/Payroll Specialist

POSITION SUMMARY

Sonoma Raceway is seeking experienced payroll and human resources generalist to oversee the organization’s payroll and human resources functions. He/she will be responsible for administration and processing of all human resource procedures and payroll for a full time staff of seventy along with a significant season and part-time staff.

KEY RESPONSIBILITIES

  • Process new hires, terminations, status changes, deductions, rate changes, retroactive adjustments, garnishments and special pays.
  • Run and process bi-weekly payroll.
  • Manage benefits and review billing.
  • Review and adjust time clock entries; review, confirm, and input manual timesheets.
  • Ensure all mandatory deductions from payroll are correct, incl. taxes, 401K, medical benefits, garnishments, etc.
  • Maintain employee files, ensuring compliance with internal, state and federal requirements.
  • Serve as liaison with corporate VP of Human Resources and legal resources, as necessary.
  • Track all forms of paid time off (vacation, sick, etc).
  • Prepare and calculate manual checks routinely and/or on demand, for termination pay, etc.
  • Provide expert advice and counsel on payroll issues ensuring that matters are addressed and resolved expeditiously.
  • Ensure changes in state and/or federal human resource laws are properly implemented.
  • Manage 401(K) funding requests to ensure timely and accurate general ledger posting.
  • Coordinate year end W-2 processing; ensure accurate and complete preparation.
  • Conduct employee orientation, coordinate phone & email setup with IT.
  • Reconciling and balancing of related general ledger accounts on a monthly basis, and preparing journal entries when necessary.
  • Work occasional weekends and holidays.
  • Perform other duties and responsibilities as required or assigned

DESIRED QUALIFICATIONS AND EXPERIENCE

  • 2-5 years Human Resources and Payroll experience.
  • Strong experience working with ADP or similar payroll and HRMS systems.
  • Solid working knowledge of payroll policies and procedures, federal and state labor compliance laws (ADA, FMLA, CFRA, PDL, SDI and Workers’ Compensation FML/CFRA leave tracking and EEOC compliance)
  • Excellent time management skills to meet tight deadlines.
  • Ability to work independently and manage multiple projects and processes simultaneously.
  • Strong analytical skills, accuracy and attention to detail a must.
  • Ability to effectively interact with employees on payroll related matters.
  • Ability to maintain confidentiality of sensitive human resources and payroll information.
  • Excellent verbal and written communication skills including the ability to interact professionally at levels in the organization
  • Experience working in a fast-paced, rapidly changing environment.
  • Collaborative and customer-service focused work style.
  • Must be proficient with Microsoft Office, Excel and Word software applications.
